Workflow Automation · Insurance Brokerages

Your policies are complex.
Your operations don’t have to be.

We map where time and margin are leaking across your AMS, your inbox, and your carrier portals, then build the automation that closes those gaps.

Still moving by hand.

Running a brokerage means managing thousands of client touchpoints. Most of them still need someone in the middle to move them.

Submissions Sitting in Inboxes

New commercial submissions, COI requests, and renewal questions land in shared inboxes and wait their turn. The same client data gets typed into Epic or AMS360, then again into a carrier portal, then again into a follow-up email. Nothing's broken. Everything's slow.

Renewals That Quietly Walk Away

Most brokerages lose accounts not to price, but to silence. By the time someone follows up on a stale renewal, the client has already taken a quote from somewhere else. Your AMS shows the policy as active. It can't tell you the relationship is over.

The 20-Minute Tasks That Add Up

A COI request. A loss run pull. An endorsement update. Each one takes twenty minutes and pulls a senior CSR away from the work that actually grows the book. Across a week, that's a full day of capacity lost to tasks that should run themselves.

Your AMS handles policies. Your inbox handles communication. The manual work between them is where the hours go. That's the gap we close.

The SCAN Framework

A four-step process for turning operational friction into measurable, repeatable efficiency.

  1. Survey

    Map Your Operations

We audit your current workflows end-to-end. Where is time leaking? Where is information getting lost? We find every friction point before designing anything, so nothing is built on assumptions.

  2. Combat

    Identify the Waste

We isolate the repetitive, manual tasks draining your team's hours: the follow-ups nobody sends, the documents nobody can find, the handoffs that always stall. Every bottleneck gets named and quantified.

  3. Architect

    Build Your System

We design and deploy custom multi-step automation workflows tailored to your operations. Not off-the-shelf templates. Purpose-built systems that integrate with the tools you already use.

  4. Narrate

    Prove the Results

We measure before-and-after metrics so you see exactly what changed: hours saved, errors reduced, response times improved. Hard numbers, not guesswork. You'll have proof before we propose any expansion.

[ Case Study · Submission to Quote ]

A commercial COI request, handled before anyone on the team has finished their coffee.

An independent brokerage was losing real hours every week to a workflow every brokerage knows. A commercial client emails in asking for a Certificate of Insurance for a new project. A senior CSR reads it, pulls up the existing policy in their AMS, checks if coverage meets the project requirements, generates the COI from a template, drafts a reply, and sends it. About twenty-five minutes of careful work. Across forty weekly requests, that's two full days of senior staff time, every week.

We built a custom system that watches the brokerage's general inbox, classifies what comes in, pulls the structured data out, looks up the client's existing policy in their AMS, validates coverage against project requirements, generates the COI on the firm's own template, drafts a personalized reply, and sends it. Under thirty seconds. The original CSR gets a notification telling them the work is done.

The same architecture handles other inbound work too. New submissions get routed to the right producer with everything pre-staged. Renewal questions get answered or escalated based on what the policy actually says. Claims notifications get logged into the AMS and the right person gets the heads up.

If you can send an email, you can use it.

[ Not a product we sell. An example of what we build. Every system is custom-designed around your specific operational gaps. ]

Custom workflows built around how you actually operate.

Every engagement starts with your operations, not a pre-built template. We map the gaps first, then build exactly what’s needed, nothing more.

  • Submission Triage

Inbound commercial submissions get read, classified, and routed to the right producer with the data already pulled out and ready to use. First touch with the client happens within the hour, not the next morning.

  • COI Generation and Delivery

Certificate of Insurance requests get parsed, checked against the active policy, generated on your template, and sent. The activity logs back to your AMS automatically. No one on the team has to touch it.

  • Renewal Risk Detection

Weekly analysis of your book that flags accounts your AMS dashboard still shows as healthy but that signal risk underneath. Producers get the heads up with talking points ready, before the renewal lands.

  • Loss Run and Submission Packaging

Loss runs pulled, summarized, and put together into a producer-ready submission package. Carrier appetite checked against the risk. A four-hour task becomes a fifteen-minute review.

  • Client Communication Workflows

Personalized follow-ups, renewal reminders, and policy update notifications. Sent on cadence, written in your firm's voice, without anyone on the team having to draft them one by one.

  • Producer and Book Reporting

Custom dashboards that show what's actually happening in your book. Producer pipeline, retention risk, time saved per workflow, and revenue trends. Decisions backed by real data instead of Friday gut feel.

We build the rails, but you steer the ship.

Every automation includes manual overrides and human-approval checks to keep you in total control. Every system includes error handling, manual override capability, and 30 days of hands-on support, so your team is never left to figure it out alone.

Tired of chasing manual updates?

Why pros choose us.

  • We don't replace your tools. We make them smarter.

Our systems sit on top of Applied Epic, AMS360, HawkSoft, Power Broker, and whatever else your brokerage runs on. We connect the tools you've already chosen and handle the work that moves between them, so your existing stack starts doing more without you having to learn anything new.

  • Built for your operations, not the other way around.

No templates. Every workflow is designed from your specific processes, your bottlenecks, your team. If it doesn't map to how you actually work, we don't build it.

  • You see the ROI before you scale.

We measure everything. You'll have hard before-and-after numbers: hours saved, errors reduced, response times improved. All of this before we propose any expansion.

  • Applied Epic and AMS360 are agency management systems. They hold your policies, your clients, and your records. We aren't another system. We're the automation layer that sits across your AMS, your inbox, and your carrier portals, and handles the work that moves between them. Your AMS keeps doing what it does. We handle the part where a person used to copy information between it and everything else.

  • Every system we build includes monitoring and alert logic. If something stops running, we know before you do. Our standard engagement includes a 90-day support window after launch, plus ongoing retainer options for teams that want continuous coverage and regular iteration.

  • Most initial automations are live within three to five weeks. The first two weeks are discovery and mapping: we document your actual workflows before writing a single line of logic. Simpler systems move faster. Complex multi-system orchestrations can take six to eight weeks.

  • No. We build around what you have. Our systems connect to the tools your team already uses. The only thing that changes is how much manual coordination those tools require from your people. No rip-and-replace, no retraining on a new platform.

  • That depends on how it is built. We design automations to reduce friction, not add it. Most of our systems run in the background: your team does not need to learn a new tool, they just stop doing the manual steps. For the parts that do require interaction, we keep the interface minimal and the training short.
